How to Prevent Court Reporter Fatigue at Work

A difficult deposition does not usually break a reporter in one dramatic moment. It wears them down stroke by stroke: dense expert testimony, rapid interruptions, awkward names, a machine setup that is slightly off, and an outline system that asks for too many decisions under pressure. Learning how to prevent court reporter fatigue means treating that accumulation as a system problem, not a personal failure.

Fatigue is not proof that you need to try harder. It is often proof that your workflow is spending too much physical and cognitive effort to produce the same verbatim record. The goal is not to become numb to long days. The goal is to protect accuracy, endurance, and the ability to do this work for decades.

Court reporter fatigue is more than tired hands

Reporters often use “fatigue” as a catchall, but the source matters. Physical fatigue can show up as hand tension, forearm soreness, shoulder tightness, neck pain, or a loss of fine control on the machine. Cognitive fatigue looks different: hesitation on common language, blanking on a brief you supposedly know, falling behind during ordinary Q-and-A, or making a series of small translation errors late in the day.

The two feed each other. When your hands work harder, attention shifts toward managing discomfort. When your brain is overloaded with outline choices, your body tends to tense up. Add the pressure of a live record, and the result is not merely discomfort. It is a reliability problem.

That distinction matters. A reporter can be technically capable of a speed and still be unable to sustain it through a seven-hour medical deposition. Sustainable performance is the standard that counts.

Reduce the work at the source: unnecessary strokes

The most neglected fatigue-control strategy is also the most direct: write fewer keys for the language you write most often.

Conventional steno training can normalize a costly habit. Reporters are asked to memorize a sprawling inventory of briefs, manage competing theory rules, and spell out phrases that occur all day because that is how they were taught. The problem is not that every conventional outline is wrong. The problem is that a system built around maximum coverage and endless exceptions can force maximum effort onto the writer.

Every extra stroke has a price. It takes movement, timing, attention, and recovery. A two-stroke phrase may seem trivial in isolation, but deposition language is not isolated. Consider the repetition of “do you recall,” “at this time,” “with respect to,” “have you ever,” and similar high-frequency language. Those strokes compound across hours of testimony.

A selective brief system is more useful than a total theory replacement because it targets the highest-mileage waste first. Keep the parts of your writing that work. Identify the words and phrases that dominate your own transcripts, then reduce the stroke count where it produces meaningful return. That is the premise behind BREVITY: not rewriting the reporter, but reducing avoidable effort in the reporter’s existing system.

Use your transcripts as evidence

Do not guess which outlines are exhausting you. Review a representative set of transcripts, especially the assignments that leave you depleted. Look for frequent multi-stroke phrases, repeated conflicts, and sections where you routinely hesitate.

The right question is not, “What brief should I learn next?” It is, “What language costs me the most strokes and decisions over a normal week?” A brief used once a month is not an endurance strategy. A clean, automatic brief for language used hundreds of times is.

There is a trade-off. Adding too many new briefs at once creates its own cognitive load. Adopt a small group, drill them until they are automatic, and verify that they translate cleanly in your dictionary. Efficiency that introduces uncertainty is not efficiency.

Make the machine fit the reporter, not the other way around

Many reporters tolerate an uncomfortable setup because it is familiar. Familiar is not the same as functional.

Your chair height, machine height, screen position, and pedal placement affect how much force and tension you carry through a job. Ideally, your shoulders can remain relaxed, your elbows are not forced into an extreme angle, your wrists stay close to neutral, and your feet have stable support. A screen that is too low pulls the neck forward. A machine that is too high encourages raised shoulders. A chair that leaves you perched or unsupported turns a long deposition into a static endurance event.

Small adjustments can have outsized effects, but they are individual. A setup that works for a reporter who is five feet tall will not necessarily work for one who is six feet tall. Test one variable at a time and pay attention to what changes after three hours, not just during the first ten minutes.

Machine settings deserve the same scrutiny. If you routinely strike harder than necessary, fight the depth of your machine, or compensate for sensitivity settings that produce misstroking, you are wasting energy. Work with a qualified machine technician or knowledgeable instructor when needed. The best setting is not the lightest possible touch. It is the setting that gives you dependable registration without forcing excess force or defensive tension.

Build recovery into the assignment, not after the damage

Waiting until the end of the day to address fatigue is like waiting until the transcript is due to begin proofreading. Recovery works better when it is built into the workflow.

Between breaks, release your hands from the machine. Drop your shoulders. Change your visual distance by looking away from the screen. Stand if the setting allows it. These are not elaborate wellness rituals. They are brief interruptions to prolonged static posture and repetitive movement.

During breaks, resist the instinct to spend every minute on your phone while curled over the same posture. Walk a short distance, gently move the shoulders and upper back, drink water, and eat something that will carry you through the next block of testimony. Caffeine can be useful, but it is not a substitute for food, hydration, or sleep. It can also mask the point at which your body is becoming less precise.

For realtime, CART, and captioning professionals, recovery planning has to be even more deliberate because visual concentration and continuous output are higher. If you can influence scheduling, protect transition time between assignments. Back-to-back high-intensity work without a reset is not proof of professionalism. It is a predictable route to degraded performance.

Control decision fatigue before it reaches the transcript

A tired reporter does not only write more slowly. A tired reporter makes more choices at the worst possible time: whether to use a brief, how to handle a conflict, whether a speaker said one term or another, how to recover from a misstoke without losing the next sentence.

Standardize what can be standardized. Prepare case-specific vocabulary before the proceeding. Enter names, product terms, medical terminology, and likely acronyms. Review your job dictionary and realtime settings. Bring the same essential equipment in the same organized configuration. The point is not bureaucracy. The point is removing avoidable decisions from a profession already full of consequential ones.

This is also why a limited, logical writing system matters. If common language has several competing outlines or if a brief depends on remembering an obscure exception, it may be fast in theory and slow in real life. Under fatigue, predictability wins.

Treat pain and persistent weakness as data

No writing method, ergonomic adjustment, or stretch routine should be used to rationalize persistent pain. Numbness, tingling, weakness, night symptoms, or pain that does not improve with rest deserve attention from an appropriate licensed health professional. Early assessment can prevent a manageable issue from becoming a career-threatening one.

There is also a professional judgment issue. Some assignments are inherently punishing: hostile multi-speaker testimony, technical experts, poor audio, extended realtime, or schedules with inadequate breaks. Prepare aggressively for those jobs and be candid about capacity. Accepting every demand at any cost is not autonomy. It is letting other people spend your hands and concentration for you.

The sustainable reporter is not the one who can endure the most inefficient system. It is the one who continually removes unnecessary strokes, unnecessary force, and unnecessary decisions - then protects the focus that a complete verbatim record requires.
